A few sentences are enough
Tell us what happens today, who is affected and what needs to change. If a deadline matters, explain what drives it. You do not need to select the service or write a technical specification first.
For example: “Our sales orders reach NetSuite, but the warehouse confirms shipments in a separate system. Customer service has to check both before answering an order-status question.”
Keep the first exchange focused.
Use an anonymized example. Leave out passwords, tokens, payment details and confidential employee or customer records. If the project needs detailed information later, the purpose and secure sharing route can be agreed.
For an urgent issue in an existing engagement, use the support and escalation route in your agreement.
