What makes a slot genuinely available?

A customer sees an available appointment. Behind that slot sit a qualified employee, a location, a room or piece of equipment, and enough time to complete the service. Managing each in a different spreadsheet makes even a small change difficult to coordinate.

We begin with the resource that limits your schedule. A service might need both a qualified employee and a room; a class might need an instructor and a capacity limit. Testing a changed or cancelled booking against those rules shows whether the scheduling model fits the operation.

HOW THE WORK CONNECTS

What makes a slot available?

Available, qualified staff
Location and resources
Time and capacity
A bookable appointment or class
Attendance and billing

A conceptual scheduling relationship to validate against your operating rules and the current product.

One product, connected scheduling needs

Kite connects employee rosters, appointments and classes with multi-location scheduling and related timesheet, payment and accounting workflows. A fit review should establish the supported scope of the current edition and the setup required for your account.

Use your operating model to shape the demo

Roster-led services

Start with shifts, employee availability, required skills and coverage by location. Test a late absence and a replacement rather than reviewing only a fully staffed day.

Appointment-led services

Walk through booking, rescheduling, cancellation and completion. Check what happens when a customer changes location or needs a different resource.

Class-led services

Define capacity, recurrence, instructor allocation and attendance. Include an over-subscribed session and a cancelled class so that the exception process is visible.

Test the day that changes after it starts.

For an illustrative scheduling test, an employee becomes unavailable after appointments have been booked. The operator needs to find which bookings are affected, check a replacement’s skills and location, and handle the customer communication. The financial record may also need to change if the service is cancelled.

Use that scenario to compare the current process with the proposed one: time to resolve the conflict, repeated entry and any unanswered handoff. If the work involves health or children’s information, its privacy and specialist-system requirements need a separate review.

Keeping an existing booking or payment tool

Can we keep an existing booking or payment tool?

Potentially. Map the information that must move between systems and confirm the available connection. Avoid assuming a prebuilt connector exists until it has been verified.
